How to set up a separate AI memory for each consulting client

A step-by-step setup for giving every client its own project, capturing calls and decks, and keeping accounts private from day one.

Most consultants keep client context in folders, inboxes, and memory. That works until two accounts blur together. A per-client memory fixes this, and you can set one up in an afternoon.

Before you start

Gather what you already have for one client: the brief, kickoff notes, recent decks, and any shared Drive files. Start with a single active client rather than your whole roster.

Step 1: Create one project per client

Name the project after the client and keep it to that account only. Separate projects are what stop details from one engagement showing up in another. See Constella for consultants for how projects fit a consulting practice.

Step 2: Capture sources as you work

Add the material that holds your agreements:

  • Web pages and PDFs
  • Decks and Google Drive files
  • Call notes and voice notes

The web memory capture extension saves pages straight into the right project while you browse.

Step 3: Record decisions while they are fresh

After each call, add a short note with what was agreed, who owns what, and the next date. Short and dated beats long and late.

Step 4: Ask before you walk into a meeting

Ten minutes before a call, ask what you agreed last time. Check that each point links back to its source, then open the source for anything you plan to quote.

Step 5: Check the privacy settings

Keep each client's material in its own project. Review trust and controls so you know how client data is handled before you add sensitive files.

Step 6: Repeat for the next client

Once the first project feels right, copy the same structure for the others. Add Constella to Chrome for free at askconstella.com.
