How to Connect Your Team Data and Agents Into One Working Loop

A step-by-step guide to connecting your files, your team and your AI agents so knowledge flows in, work flows out, and people stay in control.

Most teams already have the data and the tools. What's missing is the loop that connects them. This guide walks through how to set one up, from first source to approved action.

Before you start

Decide on one workflow to begin with. A recurring report, a client brief or a bug triage process all work well. A narrow starting point makes it easier to see what the loop is doing.

Step 1: Connect your sources

Link the places your knowledge already lives, such as Google Drive, Notion, Box, Microsoft 365 or Dropbox. There is no migration. Files stay where they are and become part of one searchable memory.

Step 2: Capture what arrives from outside

Articles, pricing pages, screenshots and voice notes matter as much as internal files. Save them as you see them with web memory, so they join the same memory instead of sitting in a bookmarks folder.

Step 3: Let the knowledge graph link it

The knowledge graph connects people, projects, decisions and sources. Check a few connections early to confirm they match how your team thinks about the work.

Step 4: Ask questions with reasoning search

Use reasoning search to ask across everything at once. Answers come with citations, so you can verify each claim against its source.

Step 5: Put agents to work, with approvals

Give Constella Agents a defined task and set the limits for what they can do without sign-off. Your team reviews and approves the steps that matter. See Trust and Controls for how governance works.

Step 6: Review and refine

Check what the agent produced, correct it where needed, and let the memory learn from the correction. Then add the next workflow.
